What does a property manager actually do all day?

If you’ve ever wondered whether we just hand out keys and chase rent, we’re here to pull back the curtain. Because truthfully, no two days are ever the same. Some days are jam-packed with back-to-back inspections. Other days, we barely leave the office, buried in lease renewals, maintenance quotes, and tenant follow-ups.

It’s a mixed bag—but that’s exactly what we love about it.

Here’s a look at a “typical” day (if there is such a thing!) in the life of a property manager at Us Real Estate.


9:00 AM – Morning Mayhem

The workday officially begins at 9:00am—but we often feel like we’ve already had half a day’s worth of thoughts before then. First up: emails, phone calls, and a check-in on rent arrears. Who's paid, who's late, and who needs a friendly reminder?

Then it’s straight into prioritising the day's tasks. Did a tenant call about a leaking tap overnight? Has a tradie confirmed today's job? Do we have everything ready for that 4:00pm open?

Some mornings we’re in the office all the way through. Other times, we’re straight out the door by 9:30am for inspections or reports. It all depends on what’s happening with the portfolio that day.


10:00 AM – Routines & Running Around

Late mornings are often reserved for routine inspections. These are scheduled between 10:00am and 12:00pm, depending on how many are booked and how far apart the properties are.

We check that tenants are looking after the property, take photos, and make note of any maintenance issues. The aim is to keep things running smoothly—not just for the landlord, but also for the tenant. Catching a leaky shower early is better than replacing a ceiling later.

And if it's a day in the office? This time block is perfect for calling landlords, prepping lease renewals, reviewing applications, and updating inspection reports. We might even grab a second coffee.


12:00 PM – Admin, Applications & Everything in Between

Midday is where things tend to shift gears. Whether we’re back at our desks or in the car with a laptop, we’re switching to all things admin:

  • Following up on maintenance

  • Responding to prospective tenants

  • Chasing up quotes

  • Processing applications

This is also when we liaise with landlords—giving updates, reviewing rent pricing, or flagging anything that needs attention.

Every day is different. One day we might be dealing with an urgent pest issue. The next, it’s reviewing applications for a just-listed property and matching the right tenant.


2:00 PM – Entry & Exit Reports

Between 2:00pm and 4:00pm, it’s time for entry and exit condition reports. These are detailed, often lengthy, and absolutely vital to protecting the property and setting clear expectations for everyone.

Every mark on a wall, every tap, light switch and skirting board is documented. It’s a big job—but it’s also what keeps disputes to a minimum and everyone accountable.

Some afternoons are report-heavy. Others are admin-only. Either way, by this time of day, we’ve usually spoken to at least five different trades, two landlords, and a handful of tenants. And the phone’s still ringing.


4:00 PM – Open Homes & Afternoon Inspections

Late afternoons are for open homes, usually running between 4:00pm and 5:00pm, plus Saturday mornings. It’s that crucial window when working renters are free to attend, and a chance to showcase the property in its best light.

We welcome potential tenants, answer questions, gather feedback, and keep notes on who seems like a good fit. The aim isn’t just to fill a vacancy—it’s to find the right tenant for the property.

We also offer private inspections all throughout the day—early morning, lunchtime, or evening—depending on when the applicant is available. Flexibility is key, especially in a fast-moving rental market.


5:00 PM – Wrapping Up (Sort Of)

While our official hours are 9:00am to 5:00pm, the nature of the job often spills outside of that. There’s always one more call, one more email, or one more key to collect.

We try to wrap up admin, lock in tomorrow’s inspections, and get everything diarised. We confirm trades for the next day, send out follow-ups, and check in with landlords who’ve been waiting on updates.

But even after hours, we’re often reachable—especially for emergencies. Burst pipe? Broken heater? Locked-out tenant? We’re the first call.
